Linking Landlord Information


WBAR will allow you to link your customers to a landlord who is to be notified when an account becomes delinquent. Many districts have a policy that permits them to hold the landlord responsible for their tenants unpaid bills. The landlord link allows you to track these accounts and send the landlord a letter showing the accounts that are overdue.

The first step is to create a unique landlord record. To do this, click Customers, Landlords. Click on the Add button. Give the landlord a unique account number. It can be a number or a letter and number combination. Then complete the name and address part of the landlord information. If you want to be able to notify landlords by email, you must also complete the email field. You only need to create one landlord account for each landlord in your district. The tenants (customers) will be linked to the landlord account by the landlord account number you assign here and in the customer's data record.

The landlord account number link is located on the Options page of the customer record. Landlord account numbers you have created will show up in the drop down list. Click on the one you want to link to.

Landlord and tenant data can be viewed using the reports found in the reports menu. The tenant report will show each customer account that has been linked to a landlord.

To generate a final notice letter you can send to the landlord, click on Reports, Final Notices, Create/Mail to Landlords. The landlord notice form lets you put your own message text at the top and bottom of the letter. You may also enter a dollar amount which will cause WBAR to show only those accounts with a balance in excess of the amount. You may enter a cutoff date which will be shown on the notice. Click the OK button and WBAR will display a list of the accounts with landlord links. You may check the Select All box to have all of the accounts marked or check them individually. Click on the View/Print button and the notices will be generated for previewing. Print the ones you want to send.
