Calculating New Billing Charges


WBAR allows you to calculate charges for a range of accounts by selecting the starting and ending accounts from drop down lists. New calculations are not immediately added to the accounts, rather they are held in a temporary billing file that you can print out or edit before you print the paper bills. In this way, you can calculate as many times as you need to to generate a billing file that contains the correct charges you want to bill. Each time you calculate charges, a new temporary billing file is created. Charges are only added to the customer accounts when you click on the Update option in the Billing menu. To begin calculating bills, click on Billing, Calculate Billing Charges from the main menu. A form like this should appear.

Use the drop down lists under the Select a Billing Range to set the beginning and ending account numbers for the range of accounts you want to create charges for. You may also choose to calculate the gross charges based on either the entire balance due, or on only the current charges begin created. Click one of the radio buttons in the lower left hand corner.

Click on the Calculate Charges button and the program will begin calculating. When it is finished, the screen will report the number of accounts created along with the gallons and new charges produced. If you want to capture this information, click on the Print Screen button and the entire screen will be sent to your printer. You can click on the Browse charges button to see a table of the new charges that have been created. See example below.

**WBAR will only produce new charges for accounts which have either an "A" active status or "F" Final status.

 

Once you have calculated a set of new charges, you should return to the main menu and View/Print a Pre-Billing Register. This report will show you the new charges that have been created and provide you will an accounting report that you can reference throughout the billing cycle. In the Billing menu, you can also preview the bills as they will appear when you print them on paper forms.
