Entering Adjustments


WBAR allows debit or credit adjustments to any account at any time. Unlike meter readings and payments which are collected and then updated, an adjustment will apply immediately to the account. You may adjust any or all billable fields of an account and have the customer balance reflect the changes immediately. Adjustments are also tracked in the customer history file and carry a comment to explain the reason for the adjustment entry.
 
To make an account adjustment, click on Adjustments, Enter -/+ Adjustments. The following box should appear allowing you to enter an account number.
 
                                   
 
Enter the account number for the account you want to adjust and click on OK. The following screen should appear.

The adjustment form shows the current balance of the account and has two columns for entering debit or credit adjustments. If you want to increase a customer's balance, enter an amount into the + column. If you want to lower a customer's balance, enter an amount into the - column. You may mix + and - entries to adjust more than one field at a time. You should enter a comment with each adjustment to help explain the reason for the adjustment entry.

Once you have entered the + and - adjustment amounts, click on the Account and History button to post the adjustment. WBAR maintains a balance in the customer's primary data record and also in the customer's history file. The history file is a running set of transactions that tracks the customer's accounting balance. Most of the time you will want adjustments to apply to both the customer data record and the history.

Sometimes, the history of an account may not agree with the balance in the customer data record. This can occur due to a power failure or equipment problem which results in the history file not being updated. If this happens, you can adjust only the customer's history to make the history transactions match the current balance. In this case, you would click on the History Only button to have the adjustment apply only to the history file.

To abort an adjustment you have already begun entering, click on the Abort button.

All adjustments made to accounts are stored in the adjustment journal file. You should print this report at the end of you billing cycle to maintain a permanent record of the adjustments you have made. To view or print the report, click on Adjustments, View/Print Report in the main menu.

Remember, adjustments do not need to be updated. They will apply immediately to the account when you click on the posting button.
